Operation and Admin Assistant

Responsibilities

  • Answer all incoming telephone enquiries promptly and professionally, and dealing with each call appropriately
  • Book all incoming jobs and manage the diary/schedule of the Engineers, up selling our services or products at every potential opportunity
  • Ensure sales processes are followed all the way through with the upmost professionalism, from the initial customer call to the final invoice and that all works are diarised for when the next service/assessment is due
  • Follow up any works booked in with a client to ascertain whether they could benefit from any of our other services
  • Keep up to date with the company’s services and pricing and relay this information to both existing clients and potential clients, informing them of any new developments in the company’s products/services
  • Research organisations and individuals, and which of our services they could benefit from, to identify new leads
  • Ensure all certifications, such as Safe Contractor and other relevant accreditations are achieved and up to date
  • Accurate and timely production of certificates taken from Engineer job sheets
  • Undertake the production and delivery of site maps, key-coding them accordingly, and editing them regularly to ensure they are always up to date
  • Produce accurate RAMS relating to specific job sites
  • Create and prepare regular reports from site visits
  • Develop and maintain a filing system, ensuring processes and software are up to date
  • Produce and maintain a database for the company’s stock control, ordering new stock as and when required so the engineers are fully equipped for all scheduled jobs
  • Ensure all customer data is handled in line with current GDPR guidelines
  • Work with KPIs to set measurable goals for the company as well as individual KPIs

Working hours – 8:30am – 5pm

Start date – as soon as possible

Trainee Fire Alarm Engineer

We are offering a permanent role for a Trainee Fire Alarm Engineer. 40 hours Per Week, Monday to Friday, with some out of hours work at weekends depending on the client.

If you are the Successful Candidate you will form part of our team of skilled Engineers in the Southeast of the UK, including London. Your role will be to commission, maintain service Fire Alarms and attend emergency call outs.

What we are looking for in you:

  • Good Time Management Skills – to ensure you work to the schedule timescales agreed with the Total Safe office team.
  • Good Writing Skills – to complete Work Report Sheets, Checklists and
  • Certification accurately and Clearly
  • Customer Focus and effective Interpersonal Skills – to always put our customers’ safety needs first and offer a personal approach
  • Attention to detail – to investigate complex faults, and identify if the customer requires additional products and services to enhance their safety
  • Flexible and able to work as a part of a team
  • Have a full UK Driving Licence and ability to drive in congested areas such a London.
